Clinical Trials Hub
Project overview
Health Translation Queensland (HTQ) selected Marameo Design through a competitive tender process to deliver two brand new digital hubs. The Clinical Trials Hub and the Mental Health Workforce Hub were conceived as distinct platforms, each addressing critical gaps in Queensland’s health sector.
While the target audiences were unique, we proposed a unified technical and design foundation. Both hubs were built using a custom Gutenberg block library, enabling HTQ to maximise its investment while delivering user-first digital experiences tailored to each sector’s needs.
The Clinical Trials Hub began as a straightforward resource directory. However, through collaborative research and discovery, it became clear the sector needed more than information. Queensland’s clinical research teams required an actionable, intuitive tool to help them plan, run and manage trials more effectively. This insight became the foundation for what would evolve into the site’s core feature: My Clinical Trial Planner.
This platform was developed alongside the Mental Health Workforce Hub as part of a coordinated effort to strengthen Queensland’s health and research infrastructure. Explore the Mental Health Workforce Hub case study to see how it supports future carers through lived experience and career clarity.
Key challenges
Clinical trials are inherently complex. In Australia, researchers and support staff often navigate disconnected systems, inconsistent guidance and a lack of practical, stage-by-stage tools tailored to the local regulatory environment.
Initial planning for the hub focused on centralising resources, but this was only part of the solution. The real challenge was how to support diverse trial teams such as administrators, coordinators and researchers in a way that respected their unique workflows while providing a clear, shared structure.
Key issues included:
- Fragmented access to reliable resources
- A lack of digital tools designed for the trial lifecycle
- No easy way to collaborate across teams
- Low digital maturity in some user groups, requiring a gentle learning curve
Our approach
From the beginning, we knew the success of the Clinical Trials Hub would depend on how well it reflected real-world needs. That meant starting with strategy and research, not screens or sitemaps.
We conducted in-person stakeholder workshops in Brisbane, bringing together trial coordinators, research nurses, ethics administrators and sector leaders. Through interviews, live sketching and collaborative exercises, we surfaced key workflows, frustrations and opportunities.
These insights informed detailed personas and user journeys, ensuring the platform spoke directly to the people who would use it every day. Alongside this, we developed a flexible, reusable design system that could power both the Clinical Trials Hub and its sister project, the Mental Health Workforce Hub.
Key strategies
Several strategic decisions shaped the success of this project:
- Shared design system
A custom-built block library ensured consistency, reduced duplication and allowed for rapid iteration across both hubs - Content-led UX
Every feature was driven by the real needs of researchers. We prioritised clarity, ease of use and relevance - Flexible tooling
We designed for autonomy, ensuring users could navigate and use the planner without needing to log in or be tech-savvy - Modular build
Future enhancements or integrations can be made with minimal overhead
We also created a deep link between research insights and technical execution, ensuring that each step in the trial planner aligned to an actual process our users go through in real life.
The solution
The result is My Clinical Trial Planner, an interactive, stage-based tool designed to support clinical trial teams from pre-approval through to delivery.
Users can navigate freely through the entire trial lifecycle. At each stage, they are guided by clearly defined steps, resources and checklists. The tool is entirely free to use, with no login required unless users choose to track their own trial.
Key features include:
- Stage-based navigation covering planning, approval and execution
- Resource integration for every step, linking to articles, templates and guidelines
- Personalised trial tracking with to-do lists and document uploads
- Team sharing features, including note-taking and progress views
- Designed for clarity and autonomy, not dependency on support
